Moving your shop's credit book to your phone

Why paper credit ledgers lose money, what to watch when going digital, and a practical way to track customer tabs without losing a single balance.

Corner shops, barbers, repair garages and market stalls around the world still run customer credit from a paper notebook. The book works for years, until the day it gets lost, wet or too messy to read. That day, months of receivables go with it.

The hidden costs of a paper ledger

  • Totals are hard: finding what a customer still owes means flipping back through pages.
  • Partial payments get messy: a crossed-out line with "paid 20" scribbled next to it invites arguments.
  • No reminders: the book never tells you whose payment is late.
  • One copy: you can't check it from home, and if it's gone there is no backup.

Five steps to go digital

1. Add each customer once

Create every customer as a person and attach records to them. If "Mrs. Smith" and "J. Smith" become two people, their totals split.

2. Carry over open balances, not closed ones

You don't need to copy every line. Enter each customer's current open balance as one record and note "carried over from the book". Settled accounts can stay on paper.

3. Record payments, don't overwrite amounts

When a customer pays part of the tab, leave the original amount alone and add a payment. The remaining balance drops on its own and the history stays. More in tracking partial payments.

4. Set a due date

If a customer says "end of the month", put the end of the month on the record as its due date. Overdue tabs rise to the top, so you know whom to call without searching the book.

5. Share with your partner if needed

If you run the shop with a spouse or partner, share the list. When one of you records a payment, the other sees the same balance (when a shared debt list helps).

Reminding customers

Digital records make reminders easier too: you talk in dates and amounts instead of "it's in the book". For polite, clear wording see how to remind someone to pay you back.
